How to Verify a Chinese Supplier Before Placing an Order

Most sourcing disasters share the same root cause: the buyer knew the price but not the supplier. Verification is not about distrusting Chinese factories — the large majority are legitimate businesses — it is about confirming that a specific factory can actually do what it claims.
Step 1: Verify the business entity
Ask for the business license (营业执照) and check the company name, registration number, and scope. The registered scope should plausibly cover manufacturing — if a "factory" is registered as a trading company, that is not necessarily disqualifying, but you should know whether you are talking to the maker or a middleman.
Step 2: Check the certifications that matter
ISO 9001 is the baseline for process discipline in most industries; IATF 16949 matters for automotive, ISO 13485 for medical. Ask for certificates and check that the company name on the certificate matches the entity you are paying — and that the certificate is current.
Step 3: Look behind the photos
Anyone can download factory photos. Ask for a short live video walkthrough, or schedule a video call while walking the workshop. Third-party inspection companies also offer affordable virtual audits. What you are checking is simple: the machines exist, they are running, and the workshop roughly matches the claimed capabilities.
Step 4: Test with money and documents
Structure early payments to limit exposure — a 30/70 split with balance after inspection is common for first orders. Ask how the factory handles inspection reports and claim procedures. A supplier that documents its work welcomes these questions; one that gets defensive is telling you something.
Red flags worth taking seriously
Prices far below every other quote, refusal to provide any company documents, pressure to pay personal accounts instead of the company account, and inconsistency between the quoted company name and bank details all justify pausing, regardless of how attractive the offer looks.
